Closing of Books of Account [ SQL Users ]
 
** Maind Closing **
 
*** (For Removing Current Financial Year)
Step 1: Check Free Disk Space On Drive Where Sqlbase Server Is Installed. Free Space Must Be Approx. Twice Of Current Database i.e DBS File Size.
 
Step 2: If Available Disk Space Is Sufficient. Run Check Database From Program Utilities Menu.
 
Step 3: If Database Check Is Successful. Take Database Backup.
 
Step 4: Note Starting Sett. Nos For The New Financial Year i.e First Settlements With Payin or Payout Dates Falling In New Financial Year.
 
Step 5: Run FACLOSE4.EXE From Program Folder i.e Folder Where MAIND.EXE has Been Executed.
 
Step 6: (a) Enter Running/Current Database Name (e g. NSE9798).
(b) Enter New Financial Year Start & End Dates
(e g. Current Fin. Year From: 01/04/2007 Current Fin. Year To: 31/03/2008).
(c) Click Show Button.
(d) Enter Sett. Nos (From Step 4) According To Their Types In Table. Leave Blank For Sett. Types Not Known.
(e) Click 'Remove Current Financial Year' Button And Click Start Button.
Step 7: This Process Will Take Time Depending on Database Size. Closing Will Be Completed After Successful Message.
 
*** (For Retaining Current Financial Year)
 
Step 1: Go To SQLBase Folder (Found On Drive Where SQLBase Server Is Installed),
Create New Folder With New Year Database Name (eg. NSE0708) And Unzip, Uncompress Backup Taken In Step 3).
Server Must Be Closed During This Operation.
 
Step 2: Rename Old Year Database DBS File To New Year Database Name i e Same As Folder Name Created In Previous Step (eg. NSE9798.DBS TO NSE0708.DBS).
 
Step 3: Applicable To LAN Users Only
Edit Sql.ini File In Sqlbase Folder.
(a)Find Block [dbnt5sv].
(b)Check Line:- <servername= - - - >
if servername=server1,sqlntnbi
then Enter New Line:- dbname=<new year database name>,sqlntnbi
if servername=server1,sqlws32 then
(a) Enter New Line:- dbname=<new year database name>,sqlws32
(b) Find Block [winclient.wsock], Enter New Year Database Name In entry <Serverpath=> After Comma( , )
(eg. serverpath=server1,131.108.2.112/nse9798,nse0708).
(c) Find Block [winclient.ws32], Enter New Year Database Name In <serverpath=> entry After Comma( , )
(eg. serverpath=server1,131.108.2.112/nse9798,nse0708).
 
Step 4: Edit File COFILE.DLL In Program Folder i.e Folder Where MAIND.EXE
Has Been Executed. Add New Line With New Year Entry: <New Year Database Name><New Year Financial Year Description>
(eg. NSE0708 Finacial year 01/04/07 To 31/03/08).
Do This For All The Client Notes Also or Copy To Other Machines.
 
Step 5: Run FACLOSE4.EXE From Program Folder i.e Folder Where MAIND.EXE has Been Executed.
 
Step 6: (a)Enter New Year Database Name (eg. NSE0708).
(b)Enter New Finacial Year Start & End Dates.
(eg. Current Fin. Year From: 01/04/2007 Current Fin. Year To: 31/03/2008).
(c)Click Show Button.
(d)Enter Sett. Nos(From Step 4 From Removing Current Financial Year) According To Their Types In Table.
Leave Blank For Sett. Types Not Known.
(e)Un-Check 'Op Balance To Be Carried Forward' Check Box If Financial
Are Not To Be Carried In New Financial Year i.e Opening Balances To Be Entered Manually In New Year.
(f)Un-Check 'Closing Stock To Be Carried Forward' Check Box If Shares Closing Stock
Are Not To Be Carried In New Financial Year.
(g)If F&O Is Active Then Enter First Date Of New Financial Year (eg. 24/04/2008).
(h)Click 'Retain Current Financial Year' Button And Click Start Button.
 
Step 7: This Process Will Take Time Depending on Database Size. Closing Will Be Completed After Successful Message.
 
Step 8: Applicable To LAN Users Only
Edit Sql.ini File In Program Folder(Where Maind.Exe Has Been Executed).
(a)Find Block [dbnt5sv].

(a) Enter New Line:- dbname=<new year database name>,sqlws32
(b) Find Block [winclient.wsock], Enter New Year Database Name In entry <serverpath=> After Comma( , )
(eg. serverpath=server1,131.108.2.112/nse9798,nse0708).
(c) Find Block [winclient.ws32], Enter New Year Database Name In <serverpath=> entry After Comma( , )
(eg. serverpath=server1,131.108.2.112/nse9798,nse0708).
Do This For All The Client Notes Also or Copy To Other Machines.
 
Step 9 : Send Your Backup Batch file To Vendor For Taking New Year Database Backup.
With Information As New Year Database Name. Check Backup Shortcut For Target
Path To Know Backup File Name And Path.
 
Step 10. Run Program File Maind.Exe Go To Utilities/System File Maintenance
And Change Financial Year In Both The Databases Old & New.
